JOB TITLE: Head - Academic Operations

POSITION OBJECTIVE
The Head of Academic Operations (HAO) manages and oversees the execution of all facets of operations needed for the delivery of academic programs and curricula at the specific campus. It is a key position that reports directly to the Campus Director with ultimate responsibility for ensuring all campus academic operational goals are accomplished with the ultimate aim of delivering quality learning experience for students. The HAO has direct oversight of three functions that provide the infrastructure needed for effective academic operations, namely: Labs and Workshops; Academic Services and Advising; and Learning Resources. The core performance goal for the HAO is to ensure effective delivery of academic program and curricula through the optimum utilization of the campus teaching and learning resources and infrastructure with a minimum disturbance to the planned schedule. The Head of Campus Academic Operations will have operational oversight for all Program Chairs at the campus within a Dotted Line reporting relationship. The Head of Academic Operations is expected to act in the absence of campus director.
 
ACADEMIC QUALIFICATIONS

In support of Emiratization, HCT may exercise flexibility with the experience or education requirement in order to recruit UAE National candidates who show potential for success in the role.

  • A PhD in a relevant discipline from an accredited university is required
SKILLS AND EXPERIENCE
  • A minimum of 10 years of related work experience, with at least 5 years spent in a supervisory/leadership role
  • At least 3 years of relevant teaching/training experience at a tertiary level
  • A minimum of 2 years of relevant industry experience
  • Strong Project Management Skills including using project management software
  • Excellent customer focus and ability to work in a positive manner with a variety of people (students, faculty, staff, and administrators)
  • Skillful at problem solving and anticipating issues before they arise.
  • A high degree of computer literacy and demonstrated ability to integrate technology into the learning environment and teaching methodology
  • Current knowledge of industry practices, trends and issues
  • Experience in budget planning and implementation
  • Highly developed organizational, communication and presentation skills
  • Strong management or leadership skills as exhibited by experience in effectively leading a team and/or chairing committees
  • Superior interpersonal skills as demonstrated by the ability to form professional relationships at all levels within the organization and with appropriate external stakeholders
  • Overseas work experience within a multi-cultural environment would be advantageous
LANGUAGE
  • Fluency in written and spoken English is essential
DUTIES AND RESPONSIBILITIES
  • Share overall daily administrative responsibility, with the Head of Campus Services, for smooth and effective operational environment that ensure high quality student educational experience
  • Work effectively within the campus's dual system of decision making with appropriate responses, follow ups and coordination with Campus Director and the Executive Dean(s)
  • Lead all the meetings that pertain to academic operational matters and ensure campus-wise communication and dissemination of appropriate actions and recommendations after appropriate consultation with the campus director.
  • Collaborate actively with different campus service section teams and supervisors and initiate joint operational protocols when needed to ensure efficient delivery of courses across campus.
  • Assist in developing a multi-year plan for the provision of IT and non-IT instructional equipment.
  • Play a pivotal role in both the development of campus academic operational plan and in monitoring its implementation
  • Monitor course offerings throughout the year and partners closely with all campus program chairs to address and resolve curricular operational issues.
  • Identifies areas where operations could be improved or enhanced through technology, organizational and/or process change and submits the appropriate recommendations to campus director.
  • Prepares/compiles end of semester reports on the implementation status of academic operations with suggestions for overcoming problems and challenges.
  • Assist in performance evaluation of all campus program chairs and faculty as requested
  • Develop and foster effective collaboration between faculty, staff, and appropriate campus services to ensure an integrated approach to the implementation of the campus's academic goals and objectives.
  • Oversees and accountable for gathering data from program chairs, students, faculty and staff abouth ways and means to improve academic operations to provide students with better learning experience and success rates.
  • Oversees and accountable for class schedules, faculty teaching schedules, and operations impacting the student ability to access, receive, and complete education.
  • Develop and maintain records as required for preparation, presentation, and communication of pertinent information to necessary departments for System-wise operations, audits, etc.
  • Participate as a member of committees as assigned by the campus director.
  • Participate jointly with Executive Deans in evaluating, contract renewal , and hiring of Program Chairs
  • Monitor daily availability of Program Chairs at locations, oversight all types of leaves and consult with Executive Deans when and if needed.
  • Other duties as assigned by the Campus Director
