Position Summary

Job Objective
The Assistant Manager – Administration Office is responsible to manage the DVC office and to provide administrative support the DVC in a timely and professional manner to ensure smooth running of daily operations.

Main Responsibilities

Manage the DVC’s office in a professional manner.
Serve as the main point of contact between the DVC and internal or external stakeholders for information requests; ensure proper responses are provided.
Develop communications from DVC to other stakeholders.
Organise meetings in liaison with concerned parties to ensure meetings are properly planned and to avoid conflicting and overlapping schedules; ensure efficient management of appointments diary and meeting schedule, including timing, priority setting, and agenda preparation.
Attend meetings and workshops with the DVC when required; take minutes of meetings, communicate to relevant stakeholders and follow-up on their completion.
Manage document flow received and sent by the DVC in a timely and accurate manner.
Oversee information processing, filing, archiving and retrieval; ensure accuracy, completeness, timeliness, integrity and confidentiality of documents.
Monitor office supplies; oversee the proper recording, verification, and maintenance of invoice information.
Lead the development of reports, documents, memos, circulars and other correspondence as required per DVC; submit to DVC and amend as necessary.
Review the translation of documents from Arabic to English and vice versa to maintain message content, context, and style as much as possible.
Plan, prioritise and assign activities to subordinates; follow-up on results.
Manage travel and accommodation services for the DVC.
Provide professional development support and perform periodic performance reviews for direct subordinates based on HCT's Performance Management System.
Coach and mentor subordinates on a regular basis.
Contribute in an effective and efficient manner to the recruitment and development of UAE Nationals.

 

Requirements

 Qualifications
• Minimum of a Bachelor’s degree.
• Full English and Arabic proficiency are required.
• Intermediate computer literacy is required e.g. MS Office.

Experience
• Minimum of six years of work experience with at least two years of experience managing Executives’ Offices.
